What to Print for Your Big Day: The Ultimate Wedding Checklist

Wedding Planning can be an exciting journey filled with countless details to manage. In the midst of the bigger decisions, like securing your venue or booking vendors, you don't want to overlook the printed items you want to provide for your day. Not only do these items allow you to convey important details and information for your guests, it can also be a way for you to include your theme colors and style. Refer to this wedding printing checklist to help you think through the printed items you might need as part of your wedding day!

Save-the-Dates


One of the first items you will be getting printed to send out is your Save-the-Date cards. You'll want to send these 9-12+ months before your wedding day to give people time to plan. These can be part of an invitation suite design, a cute template you found on Canva or Etsy, or a more personal/fun item, like a magnet or postcard.



Invitations


Your wedding invitations create the first impression of your big day. Be sure to include all the key details for the day and a link or QR code to your wedding website.


  • Your Names: It can be helpful to include your first and last names. Consider adding confirmation saint names too!

  • Date & Time: Ensure your guests know when to show up.

  • Ceremony & Venue Locations: Provide the full address to avoid confusion.

  • RSVP Options: Make it easy for guests to respond by listing a website or including a separate RSVP card.

  • Specific Notes: You can also include dress code specifics or other important event information.


Ceremony Programs


Your ceremony program will guide your guests through the most important part of the day - your Wedding Mass! If you have guests attending who are not Catholic or familiar with a Nuptial Mass, it can be helpful to include Mass responses or short descriptions for each part of the liturgy.


Other items to incorporate into your program:

  • A special image on the cover (watercolor or sketch of the Church, a special devotional, etc)

  • Names of the wedding party, celebrants, and anyone involved in the liturgy.

  • Thank you from the bride and groom.

  • Notes regarding the reception (time and place).


Some Churches will provide ceremony programs for you! Check in at your Nuptial Mass planning meeting with the priest or wedding coordinator at your parish.



Prayer Cards


If you are looking for a special way to invite your guests to pray with and for you on your wedding day, I love personalized wedding prayer cards. These can include a favorite prayer you have as a couple or a favorite holy image.



Monogramed or Custom Signage


Signage that includes your last name or initial with your wedding date. Often times this signage is made from wood, metal, or another more unique material.



Place Cards or Seating Chart


Personalized place cards provide direction for seating, while adding a touch of sophistication. If you are having a plated dinner with preselected meals, remember to include the meal choices on the place cards. If you are doing open seating or a buffet dinner, one larger seating chart is sufficient to direct people to their table.



Food & Beverage

When it comes to your reception food and beverage, it is helpful to have items labeled, especially for those with any dietary needs or restrictions. This also helps you communicate what is included in your bar package for the night.


  • Bar Signage : Including bar type (hosted, cash, etc), personalized cocktails (his and hers), and a list of available drinks.

  • Menu: Printing menus for your reception allows guests to anticipate the culinary delights ahead. Whether you're opting for a buffet or a plated meal, listing options for dietary preferences—like vegetarian, vegan, or gluten-free—shows you care about everyone’s needs. This can be individually printed for your guests or placed at the beginning of the buffet line. (Check with your catering company to see what signage they provide)

  • Dessert Table: You might want to include a dessert table sign or have a list of the dessert flavors of options. (Remember to include dietary notes!)



Reception Items


You can help your guests navigate your reception by including helpful directional signage and signs to give instructions. Things to consider:

  • Welcome Sign

  • Schedule of Events

  • Signage for the guestbook, gift & cards, or photo booth.

  • "In Memory" sign to place by pictures of loved ones who have passed

  • Labels for family members who have passed or family wedding pictures

  • Table Numbers

  • Thank you cards to place at each table or place setting

  • Favor tags

  • Photo Sharing: Invite your guests to share their personal pictures via a special linked photo album or a certain hashtag on socials.
